Nothing is more satisfying than getting to the bottom of your inbox! And even though it seems tad futile, it’s worth the effort.
Yes, your inbox does fill up again with the daily deluge of email. Yes, it does get full much faster than it gets empty. Yes, people do send ridiculously long correspondence that requires more than a cursory glance to comprehend.
Think of it this way: you get ‘dirty’ again everyday, but that doesn’t stop you from bathing, right? RIGHT?
Getting down to the bottom of the barrel…with record speed
#1: Setting up your Inbox – File folders exist for a reason – use them! Set up your inbox to match how you operate! Create project folders that correspond to all your internal and external projects!
#2: Decluttering the Clutter FAST – Find the ezines, email alerts and junk mail by clicking on the ‘From’ column to sort by sender and drag and drop in batches into your Reading folder.
#3: Quick Scan – Scan down the inbox list looking for the messages that you can either: 1) file immediately; for example cc’d correspondence 2) respond quickly for anything that takes less than 5 seconds to handle.
#4: File for Follow-up – Anything that requires more time or attention to follow-up, file for follow-up by dragging it into your task list and assigning a time to address it.
The Golden Rules of Email Management
Rule #1: If your inbox is really, REALLY full, don’t try to conquer it all it once. Set aside one hour a day to declutter.
Rule #2: From this day forward, set aside 15 to 30 minutes twice a day to maintain and manage your email.
